POSITION PURPOSE:
Responsible for implementing and improving, various administrative duties supporting the ESH&Q Group, by supporting the development of quality processes, oversight activities (management and independent assessment) of work areas, facilitating and supporting external (e.g., DOE) assessments, inspections support (e.g., receipt), and other quality support roles assigned by the Quality Manager.
The Quality Administrative Support/Quality Specialist reports directly to the Quality Assurance Manager. Supervision is accomplished with training through reports and discussions between the Quality Administrative Support/Quality Specialist and the manager, covering actions taken or recommended and assignments completed. Completed assignments are generally evaluated for conformance to established policies and quality assurance program requirements, timeliness of activities, and soundness of technical decisions. Specific work products may be reviewed through checks of reports and other products.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provides primary administrative support to the ESH&Q Group.
Supports and performs various assigned quality assignments.
Supports development of annual Integrated Oversight Plan.
Supports and conducts, with training, management assessments and acquires independent lead auditor training.
Supports external assessments (e.g., procedure access, process, history review).
Supports, and with training, performs and/or coordinates receipt and other inspections.
Supports, and with training, performs and/or coordinates event investigations and critiques, and causal analysis.
Formulates written reports, presents oral briefings and presentations.
Supports and coordinates with Quality Manager, Line Management, and other personnel as needed with training regarding Incident, nonconformance, Supervisor Incident Reports, FBP Problem Reports, and DOE MTS Report processes, reports development, approval, and timely submittal, tracking, and records maintenance and transfer.
Supports and coordinates with Quality Manager, Line Management, and other personnel as needed on development and maintenance of Assessor qualifications, documentation, log, tracking, and records maintenance and transfer.
Conducts Quality Records Custodian tasks, updating and maintaining file plan, and coordinating records retention and transfer to RMDC.
Supports Commitment Tracking System (CTS) Administrator, with training as needed, in maintaining accuracy and completeness of CTS.
Supports Quality organization in other work assignments (e.g., support for occurrence reporting).
Supports internal communications within and between work groups to communicate effectively.
Supports and conducts technical editing reviews as requested.
Maintains a safe working environment. Demonstrates awareness and implementation of applicable environmental, safety, and health (ES&H) requirements while also alerting co-workers of such requirements as needed.

MINIMUM QUALIFICATIONS:
Education and Experience:
Degree in a related field (e.g., Quality, Project Management, Administrative Support, Communications is preferred) or equivalent.
At least three years of experience in an Administrative Support/Quality Specialist role.

Other Skills/Abilities
Experience on a DOE site, familiar with industry terminology, and an instinct for knowing when something sounds off-target are an asset.
Detail-oriented and possess strong organizational skills with the ability to prioritize and manage the completion of multiple tasks/projects with department personnel and meet deadlines.
Work effectively as part of a team, and get along well with co-workers, customers, and visitors.
Possess excellent document editing and word processing skills.
Proficient with Microsoft Office Suite, Adobe and other software data entry programs.
Ability to operate a calculator, office copier, telephone, fax, and computer are required.
Special Requirements:
Must be able to obtain and maintain a DOE "L" clearance.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is required to sit for part of the day. The employee is frequently required to stand, walk, reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl, and drive.
Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus. Manual dexterity abilities required performing calculations using a computer or calculator.
Must be capable of wearing standard personal protective equipment (hard hat, gloves, coveralls, safety glasses, hearing protection, and safety shoes) as needed.

Works in typical office environment. The noise level in the work environment is usually quiet.
