Description We are offering an opportunity for a Sr. Administrative Coordinator/Executive Assistant to join our team in FARMINGTON, Connecticut. This on-site role will involve managing a variety of administrative tasks, such as extensive calendar management, handling internal and external communications, and coordinating meetings and events. This position offers a short term contract employment opportunity.
Responsibilities:
Manage extensive calendar for senior leadership team, ensuring efficient scheduling and organization
Handle internal and external communications professionally and efficiently
Coordinate meetings and events, including setting up Zoom calls and conference rooms
Prepare meeting agendas to ensure all important topics are covered
Complete expense reports accurately and in a timely manner
Utilize MS Office Suite, Zoom, and Teams for various tasks and projects
Maintain and update information on SharePoint platform
Assist with project and change management processes
Maintain professional demeanor while communicating internally and externally
Perform general administrative duties as required to support the team. Requirements - Proficient in managing office functions and coordinating administrative activities.
Proven experience in scheduling meetings, appointments, and events.
Knowledge of 'About Time' software and other related technologies.
Demonstrated leadership skills, with the ability to guide and motivate team members.
Understanding of regulation and compliance in a corporate environment.
Strong ability in calendar management and meeting coordination.
Experience in preparing and managing financial notes.
Familiarity with C-Suite level coordination and support.
Ability to handle authorizations and approvals.
Experience in change management.
Knowledge of R Code programming language is preferred.
Proficient in using Zoom for virtual meetings and communications.
Experience in preparing and managing expense reports.
Knowledge of Maps API would be a plus.
Willingness to work overtime when required.
Experience in managing conference rooms and other shared resources.
Strong external communication skills.
Familiarity with ST Microcontroller would be advantageous.
Experience in planning and coordinating international travel.
Ability to prepare meeting agendas and minutes.
Knowledge of federal government procedures and regulations.
Security clearance would be beneficial.
High School Diploma or equivalent qualification is required.
