Position Overview:The Administrative and Change Management Specialist will support the Defense Policy Review Initiative Program Plan (DPRI PP) Office in Hawaii. This role ensures the smooth operation of administrative services and implements effective change management processes for a dynamic program encompassing over 100 construction projects and collaboration across agencies, foreign governments, and Marine Corps sections.

Position Responsibilities:
Administrative Support:
Manage day-to-day administrative services, including office functions, equipment moves, and event planning.
Coordinate travel arrangements and process associated documentation.
Maintain office calendars, distribute and process mail, and conduct check-in/out procedures for employees.
Develop and maintain administrative documents, such as correspondence, spreadsheets, schedules, and reports.
Support protocol activities for distinguished visitors, ensuring adherence to military protocols and rank structures.
Change Management:
Serve as the Change Manager for the DPRI PP organization in Hawaii.
Manage and enforce the DPRI PP Guam Change Management Plan.
Track, analyze, and maintain records of change requests (CREQs) and provide guidance and training to stakeholders.
Update and revise the Change Management Plan as needed.
Communicate effectively with stakeholders to ensure participation and provide status updates on change requests.
Maintain accurate logs and documentation of change requests on SharePoint or other government-approved platforms.
Information Systems Support:
Perform Information Systems Coordinator functions, including resolving IT issues and coordinating with the Help Desk.
Facilitate tech refreshes, VTC/teleconferences, and telephone bridge setups.
Maintain asset management documentation and manage IT-related trouble tickets.
Notify staff of upcoming IT changes and events.
Facility and Supply Management:
Coordinate facility maintenance and equipment requests, including pest control, repairs, and furniture procurement.
Manage office supplies and inventory, ensuring timely procurement and compliance with command regulations.
Conduct monthly inventory and data calls to ensure readiness for upcoming events and needs.
Security Support :
Assist local Security Manager functions, including physical security and classified area management.
Maintain compliance with Defense Information System for Security (DISS) protocols.
Stakeholder Engagement:
Participate in and provide input during telephone conferences, TEAM Meetings, video conferences, and in-person meetings.
Initiate coordination with stakeholders to ensure information accuracy and timely communication.
Requirements
Position Requirements:
BA/BS Degree.
4 - 10 years of relevant work experience.
Experience in administrative and change management roles.
Familiarity with military protocols, rank structures, and the Naval Correspondence Manual.
Strong organizational and communication skills with attention to detail.
Proficiency in developing and maintaining various administrative tools and documents.
Ability to coordinate and motivate stakeholders across diverse groups.
Experience with IT support and systems coordination is a plus.
Preferred Skills/Experience:
Master's degree preferred.
