Under general supervision, this position supports a variety of activities in support of visits and administrative business development initiatives. The Visit Coordinator communicates with all levels of employees, customers, vendors, and other authorized parties and/or agencies to gather or convey relevant information.
DUTIES AND RESPONSIBILITIES:
Support the business unit by coordinating planning activities and ensuring execution of all related logistics
Communicate and coordinate with all necessary internal and external parties (including but not limited to: Security, Catering, Facilities, IT/AV) to provide visit support as required
Respond to verbal and written requests for information from internal sources and from authorized external parties and/or agencies
Provide day of visit support including greeting and escorting, coordinating tours of company facilities and delivery of catering, submission of all required forms and documentation to internal parties
Responsible for running the presentation during the visit when applicable
Responsible for maintaining department SOPs related to visits and keeping current records of documentation for internal use and distribution
Assimilates data and prepares requested electronic and hard copy reports
Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company
Expected to work in a safe manner in accordance with established operation procedures and practices.

Job Qualifications:
Typically requires a Bachelors in Marketing or related field and technical event coordination experience. Equivalent experience may be substituted in lieu of education
Must demonstrate a basic understanding of technical event coordination principles, concepts, and practices; and professional experience which includes organizing, scheduling, and coordinating work assignments to meet site visit, product demonstration, and VIP tour objectives
Must be customer focused and possess:
Ability to identify issues, analyze and interpret information and use independent judgment in developing solutions to a variety of problems
Good analytical, verbal, and written communication skills.
Have the skills to effectively interact with all levels of employees, management, and customers
Initiate, plan, and manage events
The ability to work independently or in a team environment is essential as is the ability to work additional hours and travel as required
