UTHealth Houston is looking to fill a role in our human resources department who will work with credentialing and clearing employees during the pre-employment process. The Onboarding Ambassador is responsible for managing the entire onboarding process and experience of new hires into the organization. This role creates tracking mechanisms, researches outstanding items, reviews and makes independent judgment decisions regarding the process. In addition, the Onboarding Ambassador is responsible for creating a positive new hire experience throughout the entire process while helping the university meet its current and emerging workforce needs.
You must have excellent customer service skills as you will be handling both new employees and the demands of the talent acquisition team. Applicants must have great organizational skills as well as a passion for getting small details accurately and efficiently. This role works at a fast pace and has a high volume in work load. It will be helpful to have experience with credentialing employees in the medical field, and also have a knowledge of how to onboard employees from various international locations. Software used includes Taleo and PeopleSoft, so a comfort level with technology is expected. Candidates must have good judgement skills as well as being able to think critically and independently. You will be expected to partner with many departments at UTHealth Houston including Talent Acquisition, Employee Health, the Office of International Affairs, and the in-house UT Police Department.
This will either be a full-time role or contract. You will work a typical week Monday through Friday during standard business hours. Currently the role will be mostly remote, but may require employees to do a rotation on-site in the heart of medical center on a regular basis. Employees will be extended all UTHealth Houston benefits including healthcare coverage and a pension run by the State of Texas. Applicants should live or plan to relocate to Texas in order to come in if required.

Position Summary:

Position Key Accountabilities:
Responsible for the onboarding process for new hires. Manages relationships with the recruitment team,vendors, the applicant, UTPD and hiring departments. Collaborates with a variety of groups while managing the onboarding process to ensure the onboarding goals are met.
Provides consultative approach to the process to determine the best course of action during the process. Responsible for analyzing, assessing and interpreting background check information from multiple data sources. Responsible for identifying and researching issues throughout the process; identifying solutions and deciding on the next steps needed in the process.
Directs Background Check firm employees on appropriate verifications or adjustments to background check/drug screen including audit of firm's work and feedback to firm account executive on performance.
Makes decisions and recommendations on clearance for employment based on verified information.
Analyzes and makes recommendations for process improvement for all on-boarding activities.
Persuasive relationship skills will be utilized to help manage the process to move the process forward. Must be able to create positive working relationships with vendors, team members, Talent Acquisition and hiring departments.
Acts as the primary resource for the Recruitment Team and hiring managers when determining work authorizations for all new hires and transfers including recommendations of salary adjustments or delay in start date.
Ability to deliver both positive and negative information to the various parties involved. Must be able to communicate in a customer service driven manner.
Collaborate with HRIT for reporting and creating tools that will help improve efficiencies in the process
Determines when risk assessments are required, and is primary contact with UTPD to assess and appeal. Communicates with recruiters and Executive Director aware of any adverse actions required.
With Learning and Development team designs, and conducts new employee orientation and first month activities.
Understand the needs of the organization to prioritize which backgrounds may take priority.
Involved in creating and documenting process and participating in implementation of new tools.
Creates communications that may be utilized as templates for the team. Responsible for creating communications that help the various areas understand where applicants are in the process.

Minimum Education:
Bachelor's degree or equivalent related experience.
Minimum Experience:
One (1) year of related experience. Preferred experience with an academic or healthcare environment.

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or a negligible amount constantly to move objects.
