Position Description
The Bureau of People and Culture of the Metro Public Health Department (MPHD) is seeking an Office Support Specialist to support the work of a five-year federal grant program. This administrative position will support the Public Health Infrastructure Grant (PHIG) team and serve as a bilingual ambassador to Metro Public Health Customers. The position will be a customer facing role in the Lentz Public Health building, providing the public with direction to internal and external services and may have additional duties supporting other PHIG related projects. The successful candidate will bring a customer service attitude and full English/Spanish bilingual capabilities to the position, including excellent problem-solving and time management skills.

Typical Duties
Directs customers to appropriate internal and external services.
Consults with Interpreter & Cultural Services to ensure customers needing language services receive assistance including sign language (ASL) via video or phone interpreting.
Informs customers of their right to an interpreter and how to request the service.
Resolves customer issues and complaints effectively and efficiently.
Maintains accurate records of customer interactions and report to the PHIG manager.
Provides up-to-date program and service information to customers.
Escalates customer issues to the appropriate MPHD personnel as needed.
Collaborates with MPHD personnel to resolve customer issues and concerns.
Maintains a positive and professional attitude.
Maintains knowledge of programs, processes, services and employed technologies.
Participates in training and development programs to improve customer service skills.
Contributes to team goals and initiatives to improve customer satisfaction.
Provides feedback to management on customer issues and trends.
Prepares reports and correspondence related to the PHIG project.
Provides clerical and administrative assistance to the PHIG team.
Responds to callers requiring Spanish language support.
Participates in PHIG grant team meetings.
Minimum Qualifications
High School Diploma
Five (5) years of increasingly responsible clerical/administrative experience.
(Additional Education may be substituted for the years of experience on a year for year basis.)
Full bilingual communication capability in Spanish and English.
Must successfully pass a Language Proficiency Assessment (LPA) in Spanish and/or English.
Proficiency in Microsoft Office Suite programs and the use of email.
Valid driver's license, use of personal vehicle, and maintenance of valid personal vehicle insurance as required by Tennessee Law.
