Amentum has an opportunity for a highly qualified Administrative Program Coordinator to play a pivotal role in ensuring the smooth operation of program administrative functions of the Assessments, C5ISRT, and Experimentation Support (ACES) Project supporting the USINDOPACOM J81 Innovation and Experimentation Division. This individual will provide comprehensive support to senior management and staff, contributing to the overall efficiency and effectiveness of operations.??
Duties and Responsibilities:
Provide planning assistance to senior management and staff members, including but not limited to time management, scheduling, coordinating meetings, travel planning, procurement, and logistics.
Plan, organize and maintain accurate and organized electronic and physical filing systems for important documents, correspondence, reports, and other materials.
Ensure confidentiality and security of sensitive information.
Serve as a primary point of contact for internal and external inquiries, emails, and phone calls.
Facilitate communication between various departments, stakeholders, and external partners as needed.
Assist in maintaining records, databases, and spreadsheets as required. Track expenses, process invoices, and assist in budget monitoring and financial record-keeping tasks.
Support the planning and execution of organizational events, conferences, and meetings.
Coordinate logistics, such as venue bookings, catering arrangements, and audiovisual equipment setup.
Draft, proofread, and edit correspondence, reports, and presentations as required. Ensure accuracy, consistency, and adherence to organizational standards.
Assist in the coordination and tracking of various projects and initiatives within the organization.
Provide administrative support to project teams as needed.
Provide general support and assistance to other team members and departments as required.
Maintain flexibility to handle diverse tasks and responsibilities as they arise.
This position may require up to 10% travel CONUS and OCONUS.
Minimum Requirements:
Bachelor's degree, in lieu of degree four (4) years of relevant experience will suffice.
At least 3 years of administrative experience supporting the Department of Defense (DoD).
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
Strong attention to detail and accuracy in work.
Excellent communication skills, both written and verbal.
Discretion and confidentiality in handling sensitive information.
Active Top-Secret Clearance with SCI eligibility. Note: US Citizenship is required to obtain a Top-Secret Clearance.
Preferred Qualifications:
Master's degree in business administration, office management, or related field.
Proven experience as an administrative assistant for General Officer, Flag Officer, or Senior Executive Service, in a fast-paced environment.
Experience supporting USINDOPACOM headquarters.
The salary range for this position is $125K to $140K (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant internal equity, and alignment with market data.)
