Job Summary:
The Office Assistant 1 (Keyboarding) for the Rochester Educational Opportunity Center is located in the Welcome Center. This position is the first contact with all REOC students, staff, guests and visitors. This position provides professional assistance and referrals to a large volume of daily visitors, staff and students. Main functions are operating the switchboard, directing calls and in-person inquiries, preparing and processing all outgoing and incoming mail, maintaining and operating copier and postage machine equipment, and ensuring that equipment is well stocked with supplies.
Essential Functions:
Operates main switchboard; receives calls promptly, accurately, and professionally.
Answers inquiries and directs and/or records messages to appropriate personnel or departments.
Maintains a sign-in visitor's log; controls escort-required name badges to all visitors/guests.
Logs-in and coordinates incoming and outgoing courier mail/packages.
Prepares and/or processes all REOC outgoing and incoming mail; weighs, codes and sorts.
Affixes postage/prepares certified/rush/overnight/return receipt mail.
Receives and distributes all mail in a timely manner; ensures that mail is date stamped and delivered in a timely manner.
Types correspondence, documents, records and other written material.
Maintains and operates copier and postage machine equipment.
Monitors the operation of all copier and mail owned equipment at REOC.
Coordinates scheduling of all copier/postage machine repairs with outside contractor.
Ensures equipment is well stocked with supplies, i.e. - toner, tape, ink.
Minimum Qualifications:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At this time, agencies may recruit and hire employees by making temporary appointments. Once the NY HELPS program is officially launched, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
There are no minimum education or experience requirements for this title. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding) Full-Time, Rochester location.
Preferred Qualifications:
Excellent communication skills.
Self-motivated with the ability to multi-task.
Detail-oriented.
Professional with the ability to demonstrate outstanding telephone etiquette.
Basic knowledge of MS Office.
Bilingual and able to read, write, and speak Spanish proficiently.
Work Schedule: 37.5 hours/week; Monday-Friday, 8:00am - 4:00pm
