Position Overview
RMGS, Inc. is currently recruiting a TEMPORARY Foreign and Domestic Travel Specialist at MacDill Air Force Base (Tampa, Florida) in support of HQ USSOCOM, Command Action Group (CAG).
Roles and Responsibilities
- Coordinate a multi-dimensional effort to develop detailed planning and real-time execution of the foreign and domestic travel program for the Commander, U.S. Special Operations Command (CDRUSSOCOM), including trip preparations, itinerary development (to include separate spouse itinerary if required), travel (including airlift management), ground transportation, lodging, security arrangements, protocol, and foreign clearance requirements
- Brief proposed and final trip itineraries and provide final editions to travel team, embassies, SOCOM staff, and other entities as required
- Inform the SOCOM Command Center of flight itinerary/passenger load in accordance with command travel requirements
- Coordinate with aircrew concerning inflight requirements and payment for all onboard service/amenities
- Develop a complete, official itinerary for CDRUSSOCOM and CDRUSSOCOM spouse that details all functions, customs and courtesies, dress and appearance, and other issues
- Coordinate with Military Aircraft (MILAIR) for reservations and changes, as well as the Embassy and Country to ensure all visas are issued
- Provide travel assistance to the Commander and his travel team, as required by emergent trip changes and/or issues (e.g., mission requirements, flight cancellations)
- Schedule and brief action officer-level trip synchronization meetings
- Brief General Officer (GO)-level trip synchronization meetings with the Commanding General (CG), XO, ADC, and CAG
- Coordinate with CG’s travel team and XO to establish which personnel will be traveling on a given trip
- Coordinate with and submit Distinguished Visitor airlift requests to HQ USAF/A3M
- Coordinate ground transportation for CG’s travel team
- Coordinate lodging requirements for the CG’s travel team
- Update CG’s calendar with movement times
- Create, update, and distribute travel itinerary
- Submit security clearance requests for CG’s travel team as required
- Manage and track CG’s and travel team passport and visa information
- Prepare all applications for initial, replacement, second passport and visa requirements as required
- Obtain specific customs procedures and entry requirements at travel locations for CG’s travel team
- Submit and track Aircraft and Personnel Automated Clearance System (APACS) requests for CG’s travel team
- Create/prepare DTS orders and vouchers for CG’s travel team
- Create Invitational Travel Authorization Spouse orders (as required)
- Resolve DTS administrative deficiency resulting from travel changes or interruptions on behalf of the staff
- Prepare NATO orders for CG’s travel team as required
- Coordinate space/rooms for CG’s communications personnel and equipment requirements during travel engagements
- Coordinate with Aircrew for contact information, passenger list, and on-board meal options
- Coordinate with medical for immunization/lab requirements, schedule medical threat briefings, and request medical facility information at travel locations
- Coordinate with USSOCOM/J2 and/or NGA to obtain a copy for AOR map
- Coordinate with USSOCOM POLAD on proposed trip locations
- Coordinate with Public Health on Public Health requirements for CG’s travel party
- Coordinate all CG’s travel related Military Interdepartmental Purchase Requests (MIPRs) with USSOCOM resource advisor
- Register CG’s travel team for conferences as required
- Update CG’s travel mileage tracker
- Determine weapon and protective gear requirements for CG’s travel team based on travel location
- Obtain pre-ordered meal selections from the CG’s travel team prior to departure (as required)
- Obtain communications equipment entry permission letter from Embassies at travel locations
- Prepare Monthly Movement Message
Required Qualifications and Experience
- At least 2 years of travel planning/coordinating experience
- At least 2 years of experience supporting GO/FO personnel and protocol
- Knowledge of foreign clearance guidance necessary to coordinate, process, and manage travel
- Knowledge of scheduling MILAIR and coordinating travel with Embassies
- Active Top Secret/Sensitive Compartmented Information (TS/SCI) security clearance and CAC card holder or veteran is preferred.
