Job Summary
The Project Lead (Manager of Administrative Operations) is responsible for overseeing the administrative and logistical operations within the NJ State Inspection Program's Hamilton Office. This role includes managing a diverse team responsible for field services, customer service, warehouse, inventory, and purchasing. The Operations Manager (Administrative) ensures that all support functions run efficiently to meet the program’s operational needs, improve service quality, and maintain high standards of performance.
Key Responsibilities
- Administrative Oversight: Manage all aspects of administrative operations within the Hamilton Office, ensuring efficient processes and compliance with program standards.
- Team Leadership: Directly supervise the Field Services Manager, Customer Service Team Lead, Warehouse Manager, Inventory Manager, and Purchasing Manager. Provide leadership, guidance, and performance management to support team goals and program objectives.
- Field Services Management: Oversee the Field Services Manager, who is responsible for coordinating all field-related work, including repairs, maintenance, and facilities management. Ensure that field operations are conducted efficiently and align with program safety and quality standards.
- Customer Service Excellence: Collaborate with the Customer Service Team Lead to enhance customer support services, ensuring high-quality interactions and efficient resolution of customer inquiries and issues.
- Warehouse & Inventory Management: Supervise the Warehouse and Inventory teams to maintain accurate inventory levels, including management of critical items such as inspection stickers. Ensure proper tracking, storage, and distribution of all inventory items.
- Purchasing Oversight: Manage the Purchasing team to ensure timely procurement of goods and services necessary for program operations. Oversee vendor relationships, budget compliance, and cost control measures.
- Operational Efficiency: Identify and implement process improvements across all administrative functions to optimize resource use, reduce costs, and enhance service delivery.
- Reporting & Compliance: Ensure that all administrative activities comply with relevant regulations and program standards. Oversee reporting functions to provide accurate and timely data to support decision-making.
- Cross-Functional Collaboration: Work closely with other managers, including those overseeing lane operations and regional activities, to ensure administrative support aligns with broader operational goals.
Key Qualifications
- Education: Bachelor’s degree in business administration, Operations Management, or related field; or equivalent experience.
- Experience: Minimum of 5 years of experience in an operations management or administrative leadership role, with a track record of managing diverse teams and complex operations.
- Skills:
- Strong leadership and people management skills.
- Excellent organizational and multitasking abilities.
- Effective communication and collaboration with cross-functional teams.
- Experience in inventory management, customer service processes, and purchasing.
- Ability to analyze data and implement process improvements.
- Strong familiarity with MS Office including Visio (MS Project is a plus)
- Preferred Qualifications: Experience in state inspection programs or similar operational environments. Familiarity with logistics, maintenance, and procurement processes.

Salary Range:
