Parsons KAFD is looking for an amazingly talented Administration Assistant - Saudi National to join our team!
In this role, you will join a leading professional engineering, construction, and cost management team working on multiple projects in the King Abdullah Financial District (KAFD). KAFD is a master plan development positioned to become Riyadh’s new Central Business District that combines a mixture of world-class commercial offices, hotels, retail spaces, and contemporary residences in addition to smart city solutions that redefine urban living.
POSITION OVERVIEW:
Directly supports the Program Director and, under general supervision, performs various administrative, clerical, data collection, data entry, and report writing tasks specific to assigned projects or work groups. Assignments require a working knowledge of standard Company processes and proficiency in utilizing related PC software.
What You'll Be Doing:
Gathers statistics and general data; reviews and combines this information into established reports for use within and outside the unit.
May develop new reports or revise existing reports as directed. Such reports may be in spreadsheet or graphical formats or narrative-style word processing.
May be responsible for verifying data gathered, such as matching supplier invoices against file copies. Distributes reports as directed by immediate supervisor.
Review time reports to verify the accuracy of hours worked and Job#/WBS charges. Follows up to ensure timely processing of corrections.
Maintains employee directory and related data about employees assigned to the unit, including company resumes.
Tracks paid-time-off hours charged and maintains a schedule for future hours.
Originates correspondence and reports that do not require the personal attention of the Program Director. Answers telephone, taking and relaying messages.
May establish and maintain records of equipment, including a log of equipment service dates.
May obtain basic data to complete the unit’s overhead budget and prepare associated recurring reports. May produce a comparative report of actual expenditures against the budget as directed.
May coordinate physical space requirements for the assigned unit. Initiates requests for PCs and telephones and updates Corporate Directory as appropriate.
May work closely with immediate supervisor to track performance appraisals' timeliness and prepare documents related to personnel actions.
May periodically prepare an occupancy report by project or gather information to complete staffing reports for the unit and/or several projects, as directed by the immediate supervisor.
Perform other responsibilities associated with this position as appropriate.
What Required Skills You'll Bring:
High school diploma or Bachelor's Degree (or equivalent) and typically 3+ years of relevant work experience.
