Responsibilities:
The Department Coordinator IV provides administrative support within a department, in addition to serving as the principal assistant to Senior Director(s), Director(s), Associate Director(s), or other leadership roles. Responsible for performing a variety of advanced, complex assignments including department accounts working with minimal direction under their own initiative and latitude for independent judgment. Provides work leadership to other support staff. This position deals with highly confidential information and must be able to work with limited supervision and exercise independent judgment.
Under the general guidance of the Director+s Office Executive Assistant, this position will provide administrative support within the Director+s Office suite, to the National Laser Users+ Facility Manager, and to the Facility Security Officer. This position will also serve as the backup to the Executive Assistant, performing a variety of advanced, complex assignments with minimal direction under their own initiative, and latitude for independent judgment. This position deals with confidential administrative information.
Responsibilities
75% Director+s Office Support:
Provide backup to the Executive Assistant on daily activities when needed
Assist with calendar and scheduling needs
Assist with travel arrangements and reimbursements
Assist with daily meeting setup
10% National Laser Users+ Facility Manager Support:
Maintain the Graduate Student+s database
Assist with creating/collecting/maintaining the yearly Laser Basic Science and National Laser User+ Facilities proposal database.
Organize and facilitate the annual Omega Laser User Group workshop
Assist with travel arrangement and reimbursements
15% Facility Security Officer (FSO) Support
This position requires a Government Security Clearance.
Assist the FSO with collecting and maintaining the laboratory+s clearance holder+s database
Assist with foreign travel database input
Assist with foreign national visitors to the lab, this would include collecting mandatory visitor information, inputting data into the FACTS system and issuing visitor badges.
Requirements
At least 5 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimal supervision and direct office operations. Or equivalent combination of education and experience
Willingness to obtain a government security clearance.
Ability to effectively communicate and interact, both verbally and in writing, with people across diverse backgrounds and cultures required.
Team player with positive friendly attitude.
Proficiency with Microsoft Suite, virtual collaboration tools (Zoom, Box), Adobe, etc. required.
Office procedures, database entry principles, customer service and public relations principles, mailing and distribution methods, intermediate to advanced budget administration principles, inventory and supply maintenance principles, travel and event planning required.
Intermediate knowledge of hardware and software functionality preferred
