Summary
Join our Elevator Support Unit (ESU) team! This Administrative Assistant supports the Elevator Support Unit Department Head in Virginia Beach, VA. This is a full-time position.
What You Will Do
Gathers, collects, records, tracks and verifies data and information from multiple sources.
Compiles, reviews and analyzes data. Uses software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations.
May design processes to enhance work flow. Provides data and information to others on functional unit processes and procedures.
Manage training schedule for ESU personnel and uniform program for trades personnel.
Manage TAP budget, submissions, and spreadsheets for management.
Collaborate with project control to prepare deliverables.
Assist ESU personnel with travel set-up.
Prepare agendas for staff meetings.
What You Must Have
High School Diploma or equivalent and 4 years additional education and/or related experience.
Must be a U.S. Citizen.
Must have experience expediting purchasing requests, reviewing & making revisions to documentation and creating/updating inventory spreadsheets.
Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Must have excellent communication skills, both written and verbal, with the ability to use them in informing, presenting, negotiating and problem solving with a wide range of people.
Experience supporting office administrative duties to include maintaining files.
Experience coordinating schedules and meetings.
Must have knowledge of invoicing, accounts payable, and receivables.
Must have prior experience working on multiple projects and setting priorities.
Must be a dynamic, self-starter with strong attention to detail and the ability to function independently, meet deadlines and achieve commitments.
Must have demonstrated experience in collaborating with multi-disciplinary teams.
Knowledge of corporate budgeting.
Experienced working with marketing communications standards.
Preferred: Bonus Points For
Experience working with internal stakeholders and liaise with various experts regarding instruction and scheduling.
Prior experience in program management support role and/or purchasing, subcontracting or logistics field a plus.
Inventory experience a plus.
Experience shipping/receiving/processing packages a plus.
Physical Requirements
Minimal mobility, dexterity, or coordination required to operate common business machines. Maximum lifting required is approximately 40 pounds from floor to three feet in height.
